Most responses usually arrive within 48 hours. On average, a request is open for 5 days. What is the ideal response time I include with my request?


When sharing a request with suppliers, we recommend adding a deadline for response. This way, you avoid requests from other companies being processed first because they do have a deadline. Of course, you also want to give suppliers enough time to do a thorough screening. In practice, companies usually give suppliers a week to present qualified candidates. This deadline can of course be adjusted during that week depending on the number of candidates presented and their quality.

Is the offered price negotiable?


Yes it is, it works as follows: - When you share a request, you can define a budget that a supplier must meet. This can be a lower and/or upper limit, for example. - If a supplier proposes a candidate, the supplier also states a price. If that price exceeds the limits, the supplier will receive a warning. In some cases, the supplier might not even be able to submit a proposal. - You evaluate the supplier’s proposal. Do you disagree with the price? Then you can return the proposal with a word of explanation as to why the price is challenged. - The supplier decides whether it wants to lower the price and can then republish the proposal. - During the negotiation phase, a proposal can be returned as many times as necessary until a price is obtained to which both parties agree.

How can I check whether the proposed candidates are within my preset budget?


When making a request, you can set a maximum target price. When you receive a proposal that exceeds this target price, this is made visible with a coin icon. This way, you can immediately see which proposals exceed the set budget. Of course, a higher price may indicate a strong candidate. Another option is to write a short description of your request in several languages. You can then include more details in attachment. A tip: do not ask for candidates’ mother tongue. After all, you want to make a selection based on their talents, knowledge and experience.

How is a VMS structure funded?


This is done at 2 levels: through the configuration of the platform (depending on the client’s needs), and through its use (depending on spending through the platform or the number of transactions). The licence is fixed or variable, depending on the client’s choice, and will be between 0.2 and 0.6% of spending. It is funded by the client, the supplier, or a combination of both. As previously explained, government agencies are bound by strict procedures. There are 3 ways to use our VMS platform, each with its own advantages: 1. Issue a separate request for the one-time use of the VMS platform and the marketplace. 2. Opt for a turnkey solution by choosing an MSP partner and a VMS accustomed to working together. 3. Make use of an already negotiated agreement with a VMS supplier by a procurement centre.
