Challenge

The goal was to enable Belfius's colleagues and internal services to easily locate the necessary workforce through the tool. Belfius was specifically searching for a VMS well-known in the Belgian market, with various references in the Belgian market and recognition on the supplier side. Collaborating with new suppliers became more seamless as they were already familiar with the tool and knew how to use it, making it easier for Belfius to engage new suppliers and introduce more variety. Belfius utilized two modules of Connecting-Expertise: the sourcing module and the contracting module. The sourcing module proved to be very useful, allowing Belfius to launch mini RFPs on the market. This facilitated supplier responses and provided a better procurement perspective, offering insights into current market trends and prevailing rates, ultimately aiding in future negotiations.

Solution

The management of vendors also became more efficient for Belfius through the sourcing module, allowing them to organize vendors by specialization in a preferred-based manner. The tool provided visibility into the vendors currently being worked with, enabling Belfius to structure and manage them more effectively. In the contracting module, Belfius experienced different benefits. The tool provided a significant advantage in gaining control over the external workforce. Belfius could obtain a clear view of the externals currently working, their activities, locations, and report on the 'as is' situation. Additionally, it allowed Belfius to prepare for the future and make predictions based on the current external workforce. The tool facilitated process improvements for Belfius by integrating approvals into the system. This streamlined the entire external workforce process, allowing stakeholders at different points in the process to provide approval or feedback, contributing to more efficient workflows. Other benefits Belfius experienced included improved compliance with the external workforce. The onboarding process was expanded to ensure that new employees and externals coming to work for Belfius were screened and followed up correctly from the supplier side. A notable aspect for Belfius was having all the data in one tool, a single source of truth. In Connecting-Expertise, Belfius found everything related to the original request, the chosen candidates, and the entire lifecycle of the selected external. This centralized data made reporting on different elements in the process much easier for Belfius.
